13 CSR 70-3.210 Electronic Retention of Records

What this rule requires your agency to do

  • 1A provider transferring an original paper record to electronic medium may destroy the original only after assuring all information (including signatures, handwritten notations, and pictures) is contained in the durable medium.(13 CSR 70-3.210 Electronic Retention of Records)
  • 2Records must be retained in a form available for review at the service site or at the provider's DSS address of record, and copies must be provided upon request of DSS, DHSS, and/or DMH or their authorized agents regardless of media.(13 CSR 70-3.210 Electronic Retention of Records)
  • 3If the provider does not retain the original record, it must establish a duplicate/back-up system sufficient to permit reconstruction at a separate location.(13 CSR 70-3.210 Electronic Retention of Records)
  • 4Provider must keep records documenting services and payments per 13 CSR 70-3.030; failure to make records available or provide copies is a violation subject to sanction.(13 CSR 70-3.210 Electronic Retention of Records)
